| Correct spelling errors in the name of the participant |
The name of a participant will be printed exactly as it appears on the profile. Therefore, all spelling errors on the profile will be duplicated on all printed documentation, e.g. certificates. A reprint fee of R 30 will be charged to replace a certificate due to the incorrect spelling of a name. |
| School grade |
The school grade on the profile should be the same as the school grade as indicated by the entry number The GRADE of the learner is used to select item and category winners at Showcase events. Any award that was found to be based on an incorrect school grade will be forfeited. |
| School name | The school name on the profile should be the primary or secondary school a learner is currently attending. Learners who are doing Homeschooling should select the generic "Home School" option, and out-of-school youth should leave it blank or select the "Out of school" option |
| Date of birth | The correct date of birth helps the office identify the correct participant when the database contains more than one participant with identical names and surnames. When the database is cleaned up annually, all participant profiles without dates of birth are deleted. |
| Contact details | Contact details on the profile refers to the e-mail address and cell phone number of 1 or 2 parents. This contact details can be used to update parents (participants) when details of participation becomes available, call for entries (Eisteddfod and Young Performer Awards Competition), closing dates for entries, invitation to Showcase events, etc. |
| Ability code | Should you required adjudicators to consider any different ability during the adjudication process, it is important to have this information included in the profile of a participant. |
