What is the Billing Account?
 

Registered Institution VS “Institution of Billing”
 

The NEA system uses 3 “levels” of registration that could involve 1 to 3 different “bodies”:
  • Institution of Billing (i.e. the institution of individual that pays the bill)
  • School that the learner is attending
  • The “trained by” institution.

     

The last 2 are required for the acknowledgement of the learner's school and / or the studio that is providing the training, when printing documentation such as certificates and programmes.
 

It is important to note that any typing errors made in the registration process, will be repeated on each and every document to be printed.

 

The “Institution of Billing” becomes problematic when individual parents are allowed to use the login details of an institution. This happened in the past in instances when the institution supports the NEA, but does not take responsibility for the collection of entry fees. Some parents then even treated these institutional profiles as their own, changing the details of the school, etc. and subsequently creating havoc for other parents!
 

Subsequently, institutions are requested not to provide their login details to individual parents when the institution doesn't take responsibility for the payment of the entry fees. Parents are to be requested to register independently as an “institution of billing”, in other words, each parent will then have his/her own login code and pass code. 
 

For the acknowledgement of the “school” and “trained by” institutions, parents / participants only need t to select the name of the school on the existing database to each participant’s individual profile. The “trained by” institution (where applicable), should also be provided when submitting the entries. 

 

IMPORTANT: Parents that registered independently must provide THEIR own “INSTITUTION OF BILLING” Reference numbers (as provided by the online system) when submitting an EFT the payment, and not the name or reference for the school or studio.
