Who we are

The National Eisteddfod Academy NPC (Registration number 97/003935/08) (NEA) is a registered non-profit company involved in youth development in the arts since 1997. The NEA manages the activities of the annual National Eisteddfod of South Africa®, the NEA Young Performer Awards and the NEA Young Artist Award Competitions.

How do we collect information

We collect information about you and any other party whose details you provide us when you:

Register online on our database in order to participate in the annual National Eisteddfod of South Africa or any of our related activities. This may include your name and surname, name of school or studio, address, e-mail address, telephone number, sex and preferred language.
Complete online forms in order to submit entries online or by submitting hardcopy entry forms. This information may include the name and surname, sex, date of birth and preferred language of the participant, name of the relevant school or studio, contact details of the representative and/or parents (e-mail address, cell phone and telephone number).
Interact with us on social media
Provide your contact details to us when registering to use our applications, or services we make available, or when you update those details
Contact us offline by telephone, fax, SMS email of post.
When you interact with us on our website or by offline communication, we collect the personal information that you provide us with in order to communicate with you
When you complete and submit a form online on our website, we store your data on a third-party platform where our database is hosted.
When you complete and submit a hardcopy entry or registration form, all the information provided on the form are then captured manually on our database and is stored on a third-party platform where our database is hosted.

What do we do with your information?

We use your personal information, as provided by you

To communicate information regarding the National Eisteddfod which may be useful to you, based on your use of our applications and services.
To provide services that involve data processing and information about the activities of the National Eisteddfod Academy to you by sharing your data with third party service providers such as Xneelo.co.za, Everlytic.co.za, Internet Solutions (Ignite.co.za) and Emailmeform
To process your online entries, including scheduling of events and providing you with participation details.
To communicate with you in order to answer questions, process entries, responding to requests, deal with complaints and suggestions, etc..

For statistical research

To conduct surveys about our services, activities to help us in developing better services and offerings and to improve the design and content of our websites.

For direct marketing purposes.

We may use your personal information to send you newsletters and other marketing communications about the activities of the National Eisteddfod Academy.
We may use different channels for our marketing communications, such as email and third party service providers (Everlytic and Emailmeform)
You can update most of your personal details yourself at any time by logging into your online account with your login details that you have received when registering on our database. Should you lose this information you can send an e-mail with your name of the name of the institution to register@eisteddfod.co.za and the login details will then be resend to you. After logging in, you may also delete any of your personal details as stored on the online platform.
You can also unsubscribe at any time by clicking the unsubscribe link on any of our newsletters or by emailing us directly at unsubscribe@eisteddfod.co.za.

How do we get your consent?

When you provide us with personal information on our online platform or on hardcopy forms, you consent to our collecting it and using it only for the reason for which you send us your information.

When we use this information for a secondary reason, (marketing of NEA activities), we will provide you with an opportunity to opt out.

How do you withdraw your consent?

If you change your mind after you have registered / opted in, you may withdraw your consent for us to contact you at any time by sending an email from your email address to unsubscribe@eisteddfod.co.za.

Disclosure

We may disclose your personal information if we are required to so by law or if you violate our Terms of Service.

In general, the third-party providers used by us will only collect, use, and disclose your information to the extent necessary to allow them to perform the services they provide us.

Retention of data

We will keep your information for as long as we need it for the purpose it is being processed for. You can request at any time that we delete your information on our database.

You can access your personal data and update and amend your data at any time by logging into your account, as well as the individual’s profiles that you have added for the sake of participating in the annual eisteddfod events.

We take reasonable precautions to protect your personal information. The Third Party Services that we make use of follow industry best practices to make sure your personal data is not inappropriately lost, misused, accessed, disclosed, altered, or destroyed.

We do our best to protect your personal information, but we cannot guarantee the security of your information if it is transmitted to our website, applications, or services, or to other websites, applications, and services, via an internet or similar connection.

Changes to this Privacy Policy

We reserve the right to modify this privacy policy at any time. Any changes will take effect immediately upon their posting on the website.
